Part-Time HHELP Manager Position

The Organization: The mission of Hope Acts is to improve the quality of life for persons of Greater Portland by addressing needs for healthy living, housing security, and a hopeful economic future, and to strengthen neighborhoods to become safe places of hospitality, hope and healing for all people.

The Program: The mission of the Hope House English Language Program (HHELP) is to equip adult immigrant and asylum seeking newcomers in Portland, Maine with the English Language skills they need to achieve essential life goals. HHELP offers the opportunity for beginner and intermediate adult English for Speakers of Other Languages (ESOL) students to develop and practice their reading, writing, listening and spoken English Language skills in small, supportive classes.

Part Time: The position requires flexible hours averaging 12 hours a week; staff is expected to work 3-4 days weekly.

Reports to: Director of Operations/Program Coordinator for Immigrant Support

Coordinates with: Staff Team and Volunteers

Position Summary: The Hope House English Language Program (HHELP) Program Manager will be responsible for managing a staff of volunteer teachers and teaching assistants, overseeing intakes, supervising ESOL students, and serving as a liaison with both Hope Acts and the HHELP Steering Committee. The HHELP Program Manager will represent Hope Acts in diverse settings, serve as an interpreter for the mission and work of Hope Acts, and be an integral contributor to the overall team effort to advance Hope Acts’ mission.

Primary Responsibilities:

Volunteer Management

● Interview and approve prospective teachers, assistant teachers and other volunteers

● Refer appropriate volunteers to Hope Acts for background checks

● Maintain awareness of teacher/volunteer performance by:

  • keeping weekly attendance records and addressing volunteer attendance
  • periodic observation of classes
  • reading and responding to daily lead teacher class summaries
  • offering constructive feedback to teachers and assistants issues as needed

● Write letters of reference and respond to telephone reference calls

● Meet with individual volunteers to resolve issues or conflicts as needed

Student Oversight

● Receive and review new student applications.

● Field e-mail and telephone referrals of new students.

● Oversee volunteers to do new student intakes.*

● Assign new students to appropriate classes.

● Coordinate student transfers with HHELP classes or from other ESOL programs.

● Meet with students for general counseling, referrals, and conflict resolution as needed.

● Enforce the attendance policy

Programmatic Responsibilities

● Report to the HHELP Steering Committee and meet with them as needed

● Meet regularly with the Director of Operations and prepare status reports as needed

● Check in regularly with volunteers to troubleshoot, receive feedback, and express gratitude

● Conduct outreach initiatives to expand volunteerism in support of HHELP

● Be visible in the community as an advocate for Hope Acts and the populations we serve

Position Requirements

● Hold TESOL certification or equivalent on the job training

● Have at least one year experience in teaching adult ESOL

● Have knowledge and experience in ESOL assessment

● Have supervisory/management skills and experience

● Have basic computer skills (Word, Excel, electronic communication)

● Have a high degree of intercultural competency

● Be able to work effectively both independently and in groups

● Have a high degree of flexibility and the ability to navigate the challenges of

intercultural communication

● Be familiar or willing to become familiar with other resources for assisting immigrants in Portland

● Speak a second language (ideally French and/or Arabic)

● Positive attitude, excellent problem solving skills, and friendly communication style

● Strong organizational and time management skills and the ability to prioritize and manage multiple projects with excellent attention to details

● Strong commitment to working within the local community and people of all ages and cultures

● Excitement about the organization’s mission and desire to learn and contribute to the collective success of Hope Acts
